Verizon reported in its <a href=\"https:\/\/www.verizon.com\/business\/resources\/reports\/dbir\/\">2024 Data Breach Investigations Report<\/a> (DBIR) that 73% of cybersecurity incidents involving social engineering began with <a href=\"https:\/\/www.thesslstore.com\/blog\/gone-phishing\/\">phishing<\/a> (31%) and <a href=\"https:\/\/www.verizon.com\/business\/resources\/articles\/s\/how-to-protect-your-organization-from-a-pretexting-attack\/\">pretexting<\/a> (42%). But do you or your employees know how to report these threats?<\/p>\n\n\n\n<p>Our goal here isn\u2019t to tell you <a href=\"https:\/\/www.thesslstore.com\/blog\/phishing-email-examples-the-best-worst\/\">how to identify a phishing email<\/a> or to share a wealth of <a href=\"https:\/\/www.thesslstore.com\/blog\/phishing-statistics\/\">phishing statistics<\/a>. We\u2019ve done all of that in previous articles. We\u2019re here to demonstrate how to report a phishing email using the desktop, mobile, and web versions of three popular email clients (Outlook, Gmail, and Apple Mail).<\/p>\n\n\n\n<p>Let\u2019s hash it out.<span id=\"newline\"><\/span><\/p>\n\n\n<span style=\"--tl-form-height-m:140.667px;--tl-form-height-t:118.1042px;--tl-form-height-d:118.1042px;\" class=\"tl-placeholder-f-type-shortcode_12779 tl-preload-form\"><span><\/span><\/span>\n\n\n<h2 class=\"wp-block-heading\">How to Report a Phishing Email Varies Based on Your Company<\/h2>\n\n\n\n<p>Knowing <a href=\"https:\/\/www.thesslstore.com\/blog\/what-to-do-with-suspicious-emails-how-to-report-scam-emails\/\">how to report a scam email<\/a> is important for everyone, and there are multiple ways to do it. You can report phishing and other scam emails internally (to your IT admin), to your email service provider, and externally to law enforcement.<\/p>\n\n\n\n<p>Your organization likely has specific internal policies or processes for reporting a phishing message. If it doesn\u2019t, then your IT admin should provide clear guidelines about what your employees or other network users should do when they receive a suspicious email (as well as other forms of communication).<\/p>\n\n\n\n<p>Another important way to report emails is to report them directly to your email service provider. Of course, different companies may use different email platforms or even customized versions of those environments. So, the way to go about this may be a bit different depending on your situation.<\/p>\n\n\n\n<p>However, if your organization uses the standard versions of the following email clients, then learning how to report a phishing email is a pretty straightforward process. Let\u2019s explore the traditional versions of the three leading email clients\u2019 platforms as well as their web or mobile app options.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Platform #1: How to Report a Phishing Email in Microsoft Outlook<\/h3>\n\n\n\n<p>When it comes to reporting suspicious and malicious emails in Microsoft 365 Outlook, you\u2019ve gotta hand it to Microsoft: they make it easy. Reporting a phishing message in Outlook is a straightforward process that\u2019s hard to screw up. They give you the ability to report Junk and Phishing messages separately.&nbsp;<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Microsoft 365 Outlook<\/h4>\n\n\n\n<p>But what if you want to report something specifically as a phishing email to Microsoft? This process reports the message as a phish not only to Microsoft but to your IT admin as well through the Microsoft 365 environment. This way, they can review the message and take additional steps as needed.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\">What If You Don\u2019t See the Report Phishing Option?<\/h5>\n\n\n\n<p>If you\u2019re not seeing the <strong>Report Message<\/strong> &gt; <strong>Phishing<\/strong> option in your top Outlook Ribbon toolbar, don\u2019t worry \u2014 we\u2019ll help you add it manually. You can do this by customizing your Outlook Ribbon.<\/p>\n\n\n\n<p>To add the button to your Ribbon:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Right-click in an open area on the right side of your Ribbon bar and select <strong>Customize the Ribbon<\/strong> in the pop-up menu. Select <strong>Add &gt;&gt;<\/strong> from the buttons listed between the two columns.(<strong>NOTE:<\/strong> You can also add other options like <strong>Junk<\/strong> and <strong>Not Junk<\/strong> to this menu following the same steps.) Once deployed, you can customize your Outlook Ribbon to add the feature.<\/p>\n\n\n\n<p>To add the button to your Ribbon, we\u2019re going to follow virtually the same steps as the ones we walked through moments ago:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Right-click in an open area of your Ribbon bar and select <strong>Customize the Ribbon<\/strong>. For this example, we\u2019ll use Google Chrome. This process will automatically send the phishing message to Google\u2019s abuse team for review.&nbsp;<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Gmail Mobile App (iOS)<\/h4>\n\n\n\n<p>This process is a bit different, as there isn\u2019t specifically an option listed to report \u201cphishing\u201d in particular. Rather, you have the ability to report junk mail instead. This differs from the in-browser email client reporting method we just described, which offers separate options to <strong>Report Spam<\/strong> or <strong>Report Phishing<\/strong>.<\/p>\n\n\n\n<p>I\u2019m using an iPhone for this example. We\u2019ll start with the approach of reporting messages using your desktop software before doing this from the perspective of an iPhone user.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Apple Mail<\/h4>\n\n\n\n<p>Much like the Gmail mobile app, there isn\u2019t a menu option to report a \u201cphishing\u201d email specifically. Rather, you instead must report a message as \u201cJunk\u201d instead.<\/p>\n\n\n\n<p>I know, I know, it\u2019s a bit misleading to say we\u2019re showing you how to report a <em>phishing<\/em> message\u2026 but in this case, we can only work with the options that we\u2019re given. So, the closest thing you\u2019ll get is the \u201cjunk\u201d option.<\/p>\n\n\n\n<p>Once in your inbox,<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Right-click on the email that you wish to report. This will generate a menu.<\/li>\n\n\n\n<li>Select <strong>Move to Junk<\/strong> from the list of options.
